  • Create, manage & reconcile event budgets. Track expenses, create invoices & receipts for close out of event.

  • Research & interview venue options. Book venue best suited to the event.

  • Develop a detailed itinerary for the event.

  • Coordination & Management of Rentals: For example - tents, linens, furniture, china, silverware, banquet tables & chairs, portable restrooms, heaters, generators, staging, flooring & draping.

  • Executive menu planning available including preparation of banquet event order.

  • Act as liaison between client & all vendors to ensure all needs are met & details are in place. Manage all vendor contracts, event rental orders & process timely payments.

  • Hire and oversee a 3rd party PR/Marketing firm to produce event publication via social & printed media advertising in order to promote the event. 

  • Produce event timelines & ensure deadlines are met.

  • Follow up after the event with all vendors & client to ensure all equipment was returned & event was successful.

  • Hire additional on-site staffing such as day-of event registration & check-in, coat check, parking attendant(s), bartender(s) & cocktail servers. 

  • Work with one corporate office point-of-contact on management of contracts, scheduled speakers, sponsors & exhibits. 

  • Booking and ensuring smooth timing of all event day transportation for main party and guests.

  • Swag Bags: Product placement, shop for creative promotional giveaways & deliver assembled bags.

  • Hotel Accommodations: Coordinating blocks of rooms at selected hotels.

  • Pre-production meeting coordination.
